Job Description
Bachelor's degree and four years business experience preferably in advertising, production, or a related field preferred. Equivalent education and experience would be considered. Knowledge of Microsoft Word, Excel, and Access for Windows is required.
Requirements:
Primary duties include media tracking and invoicing; managing the production workflow of the department; acting as interdepartmental contact for Kennedy Center staff utilizing Advertising and Marketing services. Other duties include, but are not limited to the following: 1. Prepare and send weekly space reservations and purchase orders for all print advertising in local, regional, and national newspapers and magazines according to weekly schedules provided. 2. Internal circulation of all print ads, collateral materials and broadcast copy for approval. Maintain electronic proofing system. 3. Prepare detailed summary with back-up (tears-sheets; invoices) for all Kennedy Center Productions (show closings). 4. Create and maintain a schedule, with deadlines, for space reservations and materials for monthly and national publications. 5. Trafficking all print advertising, arranging for delivery to newspapers and magazines on deadline with appropriate paperwork.. 6. Internal electronic distribution of all printed/published materials (brochures, postcards, etc.) immediately upon receipt. 7. Create and update the advertising print and broadcast production schedule/database system weekly. 8. Coordinate schedules of graphic artists/writers to ensure that production and advertising schedules deadlines are met. 9. Purchase all department supplies, goods and services as directed by the Advertising Services Manager. 10. Assist Manager of Creative Services as needed in distribution of graphic files to vendors. 11. Maintain orderly files of purchase orders, invoices and printed samples and other paperwork necessary to help effectively organize the department. 12. Maintain advertising storage shelves by loading dock (periodically purging old brochures, etc.). Coordinate placement of incoming materials.
